Sales Appointment Quality Scorecard

Use this practical scorecard to review sales appointment quality across ICP fit, buyer relevance, service interest, meeting clarity, notes, and exclusivity.

Interactive review tool

Appointment quality should be reviewed against the criteria agreed before outreach—not only against whether a meeting happened. This scorecard gives marketing agencies a consistent way to review each delivered sales appointment and turn feedback into campaign improvements.

Score one appointment

ICP fit

Does the company match the agreed industry, geography, size, and other targeting rules?

Buyer relevance

Is the contact a relevant decision-maker, influencer, or stakeholder for the service?

Service relevance

Was there a genuine reason to discuss the service, rather than only a polite acceptance?

Meeting clarity

Were date, time, time zone, format, and participant details clearly confirmed?

Handoff context

Do the notes explain what was discussed and why the prospect agreed to meet?

Exclusivity / duplication

Is the appointment delivered according to the exclusivity and duplication rules you agreed?

Quality score12 / 12

How to interpret the score

10–12: Strong delivery

The meeting appears to satisfy the agreed standard across most dimensions. Still review what happens after the call, but do not change targeting based on one downstream loss.

7–9: Review the weak dimension

The appointment may still be useful, but identify why points were lost. Repeated partial scores on the same criterion are a campaign signal.

0–6: Likely quality problem

Several core conditions are missing. Review the qualification evidence and your provider’s rejection or replacement process.

The score bands are an internal review framework, not an industry benchmark. Adjust the weighting if certain criteria are more important to your business.

Do not score based on whether the deal closed

Appointment quality

Was the right type of prospect booked with a credible reason to talk?

Sales execution

Did the closer run a strong discovery process, position the offer well, and follow up?

Commercial outcome

Did the opportunity progress, close, or become future pipeline?

These are connected but different. A qualified meeting can fail to close. A weak meeting can occasionally close. Keeping the stages separate makes campaign feedback more useful.

Turn low scores into specific campaign changes

  • Low ICP scores → tighten research rules and hard exclusions.
  • Low buyer scores → improve role mapping and gatekeeper routing.
  • Low service-relevance scores → coach discovery and qualification before booking.
  • Low meeting-clarity scores → improve calendar confirmation and handoff.
  • Low notes scores → standardize what callers must record after a qualified conversation.
  • Exclusivity problems → clarify data and delivery rules with the provider.

Review patterns, not isolated disappointments

One prospect can have a bad day. One meeting can be rescheduled. One qualified opportunity can decide not to buy. The scorecard becomes useful when you review a group of appointments and look for repeated weaknesses that the campaign can actually fix.
