How to Set Appointment Qualification Criteria

Qualification criteria should protect sales time without making the campaign so restrictive that only perfect opportunities can be booked. The goal is a clear, repeatable definition of a conversation worth having.

Build the definition in four layers

Account fit

Define geography, industry, company size, business model and any hard exclusions. These rules answer whether the company belongs in the market you want to serve.

Buyer relevance

Specify which decision-makers or influencers are appropriate. A relevant company with the wrong contact can still waste the meeting.

Problem or service relevance

There should be a credible connection between the prospect’s situation and the service your agency sells.

The prospect should understand the purpose of the conversation and explicitly agree to it. Curiosity alone is not always enough.

Write criteria a stranger can apply

Bad qualification rules depend on interpretation: good company, interested prospect, established business. Better rules use observable facts and a simple decision tree so two different appointment setters would reach the same answer.

Should budget be required before booking?

Only when budget is essential to the sales conversation and can realistically be confirmed during outbound qualification. Do not add criteria simply because they sound rigorous.

Should timing be mandatory?

It depends on your sales cycle. A prospect with real relevance but no immediate deadline may still be worth meeting if your agency sells complex services.

How often should criteria change?

Change them when sales feedback reveals a repeated quality problem, not after every individual meeting.
